Job Description:
The Executive Administrative Assistant will serve as a key member of the CEO's office, providing high-level administrative support while maintaining a deep commitment to our organization's goals. This role requires exceptional communication, problem-solving, and organizational skills, with an ability to manage competing priorities, handle confidential matters, and foster strong relationships with internal and external stakeholders.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative assistance to the CEO, including managing calendars, scheduling meetings, arranging travel, and preparing materials for meetings and presentations.
- Communication & Coordination: Serve as the primary point of contact for internal and external communication with the CEO's office, responding to emails and phone calls with professionalism and urgency.
- Document Management: Prepare and review documents, reports, correspondence, and presentations. Ensure that the CEO is equipped with accurate and timely information.
- Board and Stakeholder Liaison: Assist in organizing board meetings, taking minutes, preparing agendas, and coordinating communications with board members and other key stakeholders.
- Project Support: Support the CEO in the planning and execution of strategic initiatives, including helping to track progress, maintaining deadlines, and ensuring follow-up.
- Event Planning: Coordinate logistics for internal and external events, including donor meetings, conferences, and team-building activities, ensuring everything runs smoothly.
- Confidentiality & Discretion: Handle sensitive and confidential information with the utmost professionalism and integrity.
- Additional Administrative Support: Manage and prioritize various tasks as assigned by the CEO, ensuring a well-organized and efficient workflow.
Qualifications:
- Education: Associate degree in Secretarial Science or Business Administration or equivalent experience in business administration, non-profit management, or a related field.
- Experience: At least 3-5 years of administrative support experience, with a focus on executive-level support. Experience working in a non-profit organization is a plus.
- Skills:
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Calendar), Zoom, Adobe Acrobat, and project/task management platforms such as Asana, Trello or Monday.com.
- Familiarity with digital filing systems and secure document management.
- Ability to handle multiple tasks and prioritize effectively.
- Exceptional attention to detail and accuracy.
- Strong interpersonal skills and the ability to build relationships at all levels of the organization.

- Required Certifications/Licenses:
- Must have full-time access to a private automobile and auto insurance required by the agency. Must have a PA, NY, or OH driver's license.
- Must meet Immigration Law Requirements
- Notary License or willing to obtain within 1st
- Act 34 Clearance prior to hire.

Salary:
$20.54/hour - $23.00/hour depending on experience.
