We are seeking a detail-oriented and highly organized Administrative Assistant to provide comprehensive clerical and administrative support in our Options Program of the Aging Division. Key Responsibilities:
- Prepare and type correspondence, reports, forms, memos, and billing documentation.
- Maintain accurate logs, records, and statistical data.
- Manage supervisor's calendar, appointments, meetings, and conference room scheduling.
- Serve as a receptionist: screen calls, take messages, and assist clients.
- Support other clerical staff and divisions as needed.
- Input and maintain client and waitlist data in relevant systems (e.g., SAMS).
- Maintain HIPAA compliance and strict confidentiality.
- Monitor office equipment functionality and coordinate repairs.
- Advocate for and assist elderly clients with service-related inquiries.
Required Qualifications:
- High School Diploma or GED.
- Preference given to candidates with strong keyboarding skills and the ability to accurately edit and proofread business documents.
- Familiarity with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Microsoft Teams.
- Ability to operate in a Windows 10 environment and use Zoom, PDF editors, and remote work tools.
- Excellent organizational skills, attention to detail, and the ability to maintain alphabetical and numerical filing systems.
- Basic math skills and time management capabilities.
- Professional demeanor and ability to interact effectively with internal staff and the public.
Employment Requirements:
- Must meet Immigration Law requirements.
- Must provide Act 33 & 34 Clearances (issued within the past year).
- FBI clearance required if you haven't resided in Pennsylvania for the past two years.
